Every church we’ve walked into has a version of the same story: the sound system worked fine when the sanctuary held two hundred people, or before livestreaming was part of weekly service, or before the media team started running slides, cameras, and audio all at once with one volunteer operating everything. AV needs change as a congregation grows, and most churches only notice the system has fallen behind once it starts causing visible problems on a Sunday morning. Here are five signs worth paying attention to before that happens.
1. The Sound Is Inconsistent Depending on Where People Sit
If the back rows keep complaining they can’t hear clearly, while the front rows find the same service too loud, that’s rarely a volume problem — it’s a coverage problem. Most older sanctuary sound systems were designed with a handful of speakers aimed at “the room” in general, rather than engineered around how sound actually travels through that specific space, with its particular ceiling height, hard surfaces, and seating layout.
A properly designed sound system delivers even coverage across every seat, not just the ones near the speakers. If seating position has become a factor in whether someone can follow the sermon or worship clearly, that’s a strong sign the system needs a proper acoustic redesign, not just a volume adjustment.
2. Livestream Viewers Get a Noticeably Worse Experience Than People in the Room
A lot of churches added livestreaming quickly, often with a single camera and whatever microphone was already in the room, without treating the online broadcast as its own experience that needs its own design. The result is usually audio that sounds distant or echoey online even when it’s fine in the room, or video that’s shaky, poorly framed, or drops out mid-service.
If your online congregation is a meaningful and growing part of your church — and for most churches now, it is — the broadcast deserves the same design attention as the in-room sound. That typically means a proper broadcast mixer, dedicated microphones for the pulpit and worship team, and camera positioning planned specifically for how the service will look on a screen, not just what a phone propped on a tripod happens to capture.
3. One Volunteer Is Running Everything Alone, Under Pressure, Every Week
This is less a technology problem than an operations one, but it usually points back to system design. If your media team consists of one person simultaneously managing slides, camera switching, sound levels, and livestream health during a live service, the system probably wasn’t designed with a realistic operating team in mind — and it will show in small, hard-to-predict ways: a missed slide change, a mic left off, a stream that briefly cuts out.
A well-designed system, paired with proper training for two or three volunteers instead of one, removes a lot of that pressure. This is also one of the most overlooked parts of a church AV upgrade: the training that comes with it matters as much as the equipment. A great system operated by an undertrained, overwhelmed volunteer team will still produce inconsistent services.
4. Equipment Fails or Needs Manual Adjustment Mid-Service
Feedback squeals, microphones cutting out, projectors needing a manual reset — these are usually signs of aging equipment, poor initial installation, or a system that was expanded piecemeal over the years rather than designed as a whole. Each individual fix (a new microphone here, an extra speaker there) can seem reasonable at the time, but stacked together over several years, they often produce a system where components don’t work well together and nobody fully understands how the whole setup fits.
If your media team has a running list of “things we just work around” every Sunday, that’s usually a sign the system needs a proper redesign rather than another patch.
5. The Sanctuary Has Grown, But the System Hasn’t
A system built for a congregation of a few hundred often becomes genuinely inadequate once that congregation grows, moves into a larger building, or adds a second service. More people means more seats to cover with sound, potentially more cameras needed to capture a larger stage or wider platform, and often a need to support additional screens for a bigger room. Growth is a good problem to have — but it’s still a problem for a system that wasn’t designed to scale.
What a Proper Upgrade Actually Looks Like
A good church AV upgrade starts with an honest assessment of the room, the congregation size, and how the service is actually run — not a shopping list of new equipment. It should account for both what’s happening in the room and what’s happening on the livestream, and it should end with a system the media team can operate confidently, not just a system that’s technically more powerful than before.
